Position summary

Under the direction of the Head of Patron Services, the Circulation and Stacks Supervisor oversees all daily operations of the Circulation Desk, Stacks Maintenance, Course Reserves, Lost & Found, and the library building. The position involves scheduling, training, evaluating circulation student assistants, and supervising the circulation desk operations.

Qualifications summary

Education: Bachelor’s degree. 

Preferred:  Bachelor’s degree and experience working in an academic library and using the Library of Congress classification system.

 


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

TYPICAL DUTIES:


  1. Plans, organizes, maintains, and manages the processes of day-to-day circulation services, stacks maintenance, and supervises student assistants.

  2. Develops, recommends, and administers policies, procedures, and processes in support of the library circulation services operations in collaboration with the staff of Patron Services 

  3. Schedules student assistants for all the hours and days the library is open, including evening and weekend hours, to ensure that library services are performed safely and efficiently and that library users are served courteously and promptly. 

  4. Proficiency in using the library’s automated circulation module and other technologies to administer circulation services and service delivery.  This includes the MeLCat user system, as well as LibInsight.

  5. Collects and analyzes a variety of complex data and information.  Performs timely statistical analysis and summarizes findings in applicable reports, surveys, and other communication mediums within LibInsight. 

  6. Trains and supervises student assistants in checking materials in/out, notifying patrons of overdue materials, sending out recall notices, placing holds on books, opening and closing procedures, cash drawer and change management, and processing renewal requests via telephone, voice mail, and email.

  7. Coordinates, implements, and evaluates the daily operations of stacks maintenance processes and procedures, including shelving, shifting, and missing item searches.

  8. Ensures shelving accuracy by implementing appropriate shelving quality control measures.

  9. Develops and implements plans and procedures regarding the physical management of the circulating collections; updates and posts attractive and accurate shelf range signs; maintains procedure manuals describing shelving workflows.

  10. Ensures that newly cataloged materials are immediately accessible on the library shelves when released from Bibliographic Services.

  11. Serves as backup to Resource Sharing Supervisor.

  12. Ensures all Community Cards and Faculty Secretary Cards have been completed and filed correctly.

  13. Coordinates the assignment of student lockers, rooms, and carrels, according to policy and in coordination with liaison librarians.

14. Participates in various meetings, committees, consortia, and other related groups to communicate information regarding services, information resources, continuing education opportunities, and other pertinent information as appropriate.  Manages the large poster printing service.                                                                 

15. Attends staff development workshops and seminars. 

16. Updates staff and faculty records as needed in FOLIO with changes received from the HR’s office - new hires, moving from one department to another, and anyone leaving the university. 

17. Maintains daily and weekly money reports and processes monthly billing for the Patron Services Department.                                            18. Oversees all processes related to maintaining the Reserve Shelf, including adding items to the Reserve and removing items as needed.   19. Leads out on Snow Days and emergency procedures, such as tornadoes, fire, floods, etc.                                                                          20. Monitors and responds to alarms in the library.


  1. Arms/disarms library security alarms.

  2. Begins emergency response to alarms until Campus Safety or other responders arrive.

  3. Informs and works with emergency responders, carrying out their instructions.                                                          



21. Directs opening and closing procedures for the library.


  1. Opening: Turn on lights, check the building for cleaning and maintenance problems, and set the library stage for the day.

  2. Closing: Turn off lights, turn off computers, straighten chairs, etc.                                                                   



22. Monitors library public areas by regularly patrolling reading areas, stacks, conference rooms, classrooms, lunchrooms, and restrooms.      23. Oversees S-2 electronic door (main entry and staff/handicapped entry).


  1. Serves as liaison with ITS regarding S-2 doors.

  2. Communicate any permanent library schedule changes with ITS for S-2 door programming.

  3. Programs any temporary library schedule changes for the main doors.

  4. Updates and maintains ID card access during holiday/intersession/special schedules for student workers and library volunteers. Regularly reviews the list of persons with ID card access to the library, alerts the Dean of the Library of any anomalies, and requests ITS to make needed corrections.



24. Learns, uses, and maintains working knowledge of the library’s FOLIO Circulation system and other technologies in building management.                         

 25. Other duties as assigned.

Supervisory responsibilities

The Circulation Stacks Supervisor assists in supervising 20-25 student assistants.

EXPERIENCE/SKILLS:

Technical competencies


  1. Experience with/knowledge of managing course reserves, developing course reserve policies, creating brief catalog records, and maintaining course reserves records and statistics.

  2. Strong understanding of information retrieval methods, including databases, online catalogs, and other library resources.

  3. Proficiency in using automated library systems, particularly FOLIO, personal computers, and various software packages such as word processing, spreadsheets, email, bibliographic databases, and sophisticated library automation modules.  Proficient in Internet searching.

  4.  Knowledge of or ability to learn the use of OCLC modules, Clio ILL software, bibliographic databases, etc.

  5. Learns, uses, and maintains working knowledge of department equipment and software pertaining to service delivery and instructs library assistants on how to use them.

  1. Excellent interpersonal skills, oral and written communication, and professional presentation skills.  Sufficiently articulate to communicate library policy and administrative regulations to the general public and tactfully handle complaints.

  2. Ability to provide excellent customer service to diverse users, including students, faculty, and staff.  This involves communication skills both in-person and through virtual mediums.

  3. Demonstrated ability to work independently and collaboratively with a diverse population of faculty/staff, students, colleagues, and partners.

  4. Ability to work collaboratively across library and organizational teams for projects such as collection management, promotion of library resources, and development of new library artifacts and initiatives.

  6. Proven experience supervising, training, and mentoring student assistants with flexibility, caring, and firmness.

  9. Ability to negotiate effectively with campus departments and other organizations when appropriate.

Physical demands

Physical strength and stamina: work entails continuous standing, walking, bending, lifting, climbing and reaching, and exposure to dust.  Staff push book trucks weighing up to 600 pounds.  Must be physically able to operate various automated office machines, including computers, printers, copy machines, telephones, etc

Work environment

The work environment is a heated and air-conditioned open office setting. There is moderate noise from office printers, traffic from student and staff moving through the open office area, and some conversations with patrons or colleagues. Books accumulate dust and can aggrevate allergies.
